In Part VIII of our Supplier Self Service series, we will explore Quotes and PO’s on the Supplier Secure Home Page. Users must have a user ID with proper security to access the Quotes and PO’s Tab.
Upon clicking on the Quotes and PO’s tiles, the user is brought to another landing page with two specific tiles:
Let’s explore the Quotes Tile first.
By default, Awaiting Quotes between a certain date, if any, will display.
However, the filter criteria can be changed to expand the date, filter on new or old quotes, etc.
The supplier can respond to the quote and fill in the details.
When landing on the PO tile, the user is presented with open PO’s.
The left panel lists all your supplier organizations that you may manage. This view appears if you are a manufacturer’s representative and transacting on behalf of other organizations. It displays the number of Purchase Orders awaiting your acknowledgement. The right pane displays the Purchase Order information for the selected supplier, based on the number of days you have specified in the Purchase Order field on the My Preferences page.
Similarly, the same specifications apply for the Filter page to filter Purchase Order information. The user can leverage the filter to change what is presented.
The supplier user has several options here.
- The supplier can download the PO information to Excel.
- The supplier can acknowledge the PO.
- The supplier can generate an Advanced Shipping Notification.
- The supplier can View the PO dispatch document itself (PDF).
- The supplier can PO flip. PO flip moves the supplier into invoicing.
There are various options on the Acknowledgement page; for example, the user can acknowledge, reject, change detail at the line level, add comments, etc.
Once the PO is in the proper status, the user can generate the ASN.
Finally, the user can view the PO details.
Using the Quotes and PO’s tile, the supplier user can interact with quotes and purchase orders and move the purchase process along to acknowledgement, generating ASN’s and invoicing.
