PeopleSoft Real Estate Management Overview Part 10: Reporting & Analytics, Plus Closing Comments

Hello everyone, welcome back to the PeopleSoft Real Estate Management overview series.  This REM overview #10 and our final blog in the series.  Today’s topics are Real Estate Management Reporting & Analytics and closing comments.

Before we discuss REM reports, I would like to briefly cover My Lease Portfolio and My Critical Dates again.  These “inquiry style” pages allow for quick access to your leases and a discussion of REM reports would not be complete without mentioning these pages too.

My Lease Portfolio

The My Lease Portfolio Page allows you to manage and track leases.   Through its search criteria section, the page automatically displays all the leases for which you are the Lease Administrator or Portfolio Manager.  The page provides high level details to your leases and also provides a link drilldown to your leases.

My Critical Dates

The My Critical Dates page enables you to view the critical dates of Lease Options that apply specifically to your leases.  You can search for the critical dates by providing the appropriate search criteria in the page.  For example as a Portfolio Manager, you might want to see the Critical Dates for Leases that have Lease Termination options occurring with-in the next three months, By entering the date parameter in the Search criteria section, the system generates the list.

Reports

To illustrate the REM reporting capabilities, I have compiled a list of the delivered REM reports including descriptions:

  • Lease Abstract — Displays a summary of the lease terms and conditions entered into the system. This report supports the business process of creating lease abstracts.
  • Minimum Lease Obligation — Use the Minimum Future Lease Obligation report to generate reports on minimum lease obligations to meet United States government reporting requirements
  • Pending Lease Payables — Use the Pending Lease Payables to view the pending lease payables payments and their schedules. This interactive report supports the business process for processing payments for payables leases. Note: Commonly referred to as a Rent Roll report
  • Pending Lease Receivables — Use the Pending Lease Receivables to view the pending lease receivables invoices and schedules. This interactive report supports the business process for processing invoices for receivables leases.
  • Critical Dates Inquiry — View the online inquiry of critical dates and associated options. The critical dates inquiry page is a summary reminder of important tasks requiring action by a specific date. This interactive report supports the business process for options and critical dates.
  • Rent Variance — Extract and compute recurring rent variance data for the Rent Variance report. Compare the rent amounts between the current period and the prior period, view the variances in the payments, and also view indicators for justifying variance.
  • Leased Property Report — Select properties on this interactive report to view all payables and receivables leases associated with those properties.
  • Property Occupants Report — View a list of all occupants for a property and basic information such as move in and move out date.
  • Lease Inquiry — View the online inquiry of general terms and the financial summary for payables/receivables leases. This report supports the business process for creating and maintaining leases.
  • Reported Sales — Displays the complete contents of the Percent Rent sales reporting worksheet transactional tables. This interactive report supports the business process for percent rent sales reporting.

Real Estate Management Portal Pagelets

As part of the asset life cycle management solution, real estate management can be enabled with Pagelets to customize your PeopleSoft desktop with pertinent metrics and tools that you can use to manage your leases.

Access to these pagelets is controlled by PeopleSoft security and all pagelets provide drilldown capabilities to show the supporting data.  In addition to the above REM delivered pagelets, the most recent PeopleTools version also allows you to create custom pagelets using your own custom queries as well.

The list of the delivered REM Pagelets is as follows:

  • Real Property Statistics — Property statistics provides you with an immediate, high-level statistical summary of your overall property holdings broken down by ownership status.
  • Space Utilization — View the usage statistics of each property summarized by region and the type of ownership properties with the Space Utilization pagelet.
  • My Lease Portfolio — The My Lease Portfolio pagelet is summarized by the lease type—payables, receivable, and sublease. You can view the total number of leases for each lease type and region, the total area of all leases of that region by lease type, and the average life or the sum of all the leases term divided by total number of leases in a region
  • Lease Revenues — The Lease Revenue pagelet summarizes the revenue from receivable leases that are in the status of Processed in the transaction queue.
  • Lease Costs — The Lease Costs pagelet is a summary of the costs of maintaining payables leases. Lease costs including the recurring and nonrecurring transactions for a lease.
  • Lease Statistics — The Lease Statistics pagelet lists the ratio of total area, usable area and rented area summarized by region. You can navigate to the Lease Maintenance search page to see the list of leases of the region clicked.
  • Lease Optimization — The Lease Optimization pagelet summarizes the costs of maintaining payables leases and the revenues from subleasing activity.
  • My Tasklist — You can view a summary of all critical dates assigned to you. This pagelet displays the details and the critical date assignments summarized into incremental timelines
  • Site Statistics pagelet — This pagelet shows the number of sites in each region based on the status. The users can drill down into each site from the linked field Site ID.
  • Recently Acquired Sites pagelet — This pagelet contains a list of sites that have been finalized as acquired. Linked fields include Site ID, SAR ID, Lease ID, Asset ID, and Project ID. Users can define the time span this pagelet displays
  • Recent SAR Exec. Performance pagelet — This page displays a list of recent site acquisition requests that have a status of Finalized. Users can define the date range they want to view.

Closing Comments

If you’ve been following this series through every nook and cranny, thank you. When I began this project , I envisioned the most comprehensive source of information about PeopleSoft Real Estate Management short of PeopleBooks. To that end, I think I’ve succeeded.

With respect to some series-closing thoughts, implementing PeopleSoft Real Estate Management requires an iterative method of examining your business processes and investigating the software. When designing your system, take into account your policies, procedures, and existing structures and assess how they can be incorporated into PeopleSoft Real Estate Management.

Ask questions such as:

  • How does your organization acquire your properties?
  • How does your organization control lease management?
  • Is it centralized or decentralized?
  • How does your organization want to control the security of your system?
    • Will you want the leases to be automatically approved or will someone in the management organization have to review and approve the leases?
  • Which users can create, approve or finalize site acquisition requests?
    • Who is involved in the real estate management processes at your organization?
